How To Print Black And White In Color – One of the attendees at last Thursday’s workshop asked if I showed how color charts and graphs work when printed in grayscale on a black and white laser printer. For those who tend to present printed slides rather than showing them on screen, this is a real concern. Here’s the problem with a normal color photo printed in green:
As you can see in grayscale printing, two standard chart colors are rendered in gray. Since the second column is dark red, it is very difficult to distinguish the two columns today. Your photos that look good in color don’t look good when printed in green.
How To Print Black And White In Color
The problem with many models and colors is that colors look good on screen, but don’t translate well to grayscale. Since grayscale printing translates colors into shades of gray, use colors that are different so that the shades of the rendering are easily distinguishable. One light color and one dark color will work better than two dark colors. You can draw a line around the design in a lighter color, so that it is easier to see when printed in black and white.
How To Bypass Color Ink To Print Grayscale
When filling in shapes with pictures or diagrams, consider using different patterns, such as dots or horizontal lines, instead of solid colors. When printed in black and white, these patterns show up well. The layout was removed from PowerPoint 2007, but is back in PowerPoint 2010 (this article provides an option if you are using PowerPoint 2007).
When using graphs, it helps to have color labels for each set of data, but when the graph is printed in black and white, color is less helpful. Do not rely solely on the color of the label, but make sure that each label is placed next to the data it represents. In this way, the audience will know what the data is showing that is close to the mark. The challenge comes when you use solid black for shapes or icon elements. You need to use a text box with white text so that it can be seen on the bottom color. The problem comes when you print in black and white. PowerPoint’s default is to turn all text black, so your white text will turn black when printed. It is difficult to see it in dark white color. One trick is to set the fill color and text color of the box to white with 100% transparency. It does not appear on the slide, but keeps the text white when printed in black and white.
Once you’ve made the above changes, you should see how the image looks when printed in grayscale. You don’t need to print the animations to know what they will look like. On the View ribbon, click the Grayscale button and the view will change to show you how the slide will look when printed. You can then check if your changes are correct. If some areas are still unclear, make further adjustments after you reset the display to color mode.

Instead of the usual colors, I used light and dark blue colors for the colored icons. You can choose other colors if you want, but make sure that one is a lighter shade and the other is a darker shade. Grayscale printing is now better and it is easier to distinguish between the two columns.

The secret to good black and white printing is controlling dynamic range. Dynamic range is the range of tones, from blackest to whitest in the image. In black and white photography, you want to make full use of the entire active area. The problem is, when printing, the printer hits the limits of its dynamic range long before our eyes (and cameras and monitors) can distinguish the details. Because the printer uses light to create your black tones, there will be times when you won’t be able to distinguish the details of those blacks. Same with white – every printer has a point where the white just becomes “paper white” and you can’t see any more ink. And if that’s not enough, the “black point” and “white point” are different for each printer/paper combination!
Fortunately, there is a simple solution to this problem. Using a simple black-and-white test chart, you can see how your printer and paper handle the white and black areas of your print, and you can adjust your images to extend the range of active for use with your printer.

You can use the test chart above or create your own. The important part is that you have a document with a black and white gradient, as well as a swatch of gray that gradually moves from dark to light in small increments. Whether you’re using this test chart or creating your own, you’ll need to open the Info palette in Photoshop.

If you are creating your own test chart, there are several ways you can do it. I prefer to use the 8 bit grayscale information palette to measure my gray values, because it works on a scale of 1-100, making it easy to value the grayscale information palette. If you look at my test chart, the first 11 gray lights start black and reduce the brightness by 1% per square. When you hover your cursor over a square and look at the k value in the information panel, you’ll see that it starts at 100% black in the first square, and decreases by 1% for each darker square.

Since this is a printer test chart, it doesn’t do much good for us on the screen! The next step in the process is to print your test chart using the printer, paper, and settings you want to use for your image.
